THE FAIR
TERMS AND CONDITIONS
FOR VENDORS
These Terms and Conditions (“Terms”) apply to any business (“Vendor”) participating at the Pregnant and Popped Fair (“Event”), hosted by Empowa, trading as Pregnant and Popped (“Organiser”).By submitting an expression of interest, application, booking and/or participating in Fair, the Vendor agrees to these Terms in full.
1. Booking, Payment and Cancellation
1.1. Participation will be confirmed via the Pregnant and Popped App and/or by email. Where payment is required, participation is only confirmed once full payment has been received. All fees are non-refundable.
1.2. If a Vendor cancels for any reason, they remain liable for the full fee. No refunds will be issued under any circumstances.
1.3. If cancellation by the Organiser is necessary due to unforeseen circumstances, public health concerns, or any situation that compromises safety, all fees will be refunded, minus any unrecoverable costs.1.4. Neither party will be liable for any delay or failure to perform due to events beyond their reasonable control, including but not limited to Acts of God, natural disasters, pandemics (including COVID-19), venue closure, civil unrest, or government restrictions.
2. Event Participation and Membership
2.1. Participation in the Pregnant and Popped Fair is available to providers with an active Pregnant and Popped membership at the time of the event. Pregnant and Popped reserves the right to invite speakers, contributors, or partners to participate in the Fair at its discretion.
2.2. If a Vendor cancels or does not renew their membership prior to the event date, all event-related payments will be forfeited and participation denied.
2.3. These Terms govern event participation only and exist in addition to the general Pregnant and Popped Provider Terms and Conditions.
3. Event Operations
3.1. Event hours are from 8:00 AM – 7:00 PM (subject to change), including set up and tear down time.
3.2. Tickets are distributed by the Organiser via official platforms. Vendors may not issue or sell tickets independently.
3.3. Walk-ins are allowed if venue capacity permits. The Organiser will follow all relevant safety regulations in effect at the time.
4. Use of Space and Setup Requirements
4.1. Vendor stalls must be self-contained, freestanding, and set up or taken down within 1 hour. Venue staff will not assist.
4.2. Vendors may not hang, pin, tape, or affix anything to venue walls, ceilings, or pillars.
4.3. Any damage caused by the Vendor or their team is their responsibility. Charges may apply.
4.4. Vendors must bring their own visual merchandising tools (e.g. display racks, signage stands).
5. Deliveries, Storage and Collection
5.1. Deliveries may be made the afternoon before the event, subject to instructions provided by Pregnant and Popped.
5.2. If items are sent ahead of time, each box, bag, or package must be clearly labeled. Storage is at the Vendor’s own risk.
5.3. Overnight storage is not secured. The venue is not air-conditioned after hours. The Organiser and Venue accept no liability for theft, loss, or damage.
5.4. All items must be removed by the Vendor at the end of the event. No post-event storage is available.
6. Vendor Responsibilities
6.1. Vendors are responsible for their own setup, staffing, merchandising, and customer service throughout the event.
6.2. Vendors must clearly display their payment details and handle all sales and transactions independently.
6.3. Vendor displays must be appropriate, safe, and aligned with the space booked.
6.4. Vendors are responsible for ensuring their area remains clean, safe, and professional at all times.
7. Subletting, Sharing and Exclusivity
7.1. Vendors are not permitted to share, assign, sublet, or transfer any part of their space unless previously agreed in writing by the Organiser.
7.2. No unauthorised third-party advertising or representation is permitted at any booth.
8. Promotional Add-Ons (if applicable)
8.1. Grand Prize Draw
8.1.1. Winners will be notified by the Organiser and advised to the Vendor.
8.1.2. Prizes must be fulfilled directly by the Vendor.
8.1.3. If a winner fails to claim their prize within the communicated timeframe, the Vendor may decline fulfilment.
8.1.4. Vendors grant permission for the Organiser to use their name and logo in draw-related promotions.
8.2. Goodie Bag Inclusions
8.2.1. Only branded, relevant items will be accepted.
8.2.2. Leftover items may be used for aligned Organiser initiatives.
8.2.3. The Organiser accepts no liability for how items are used post-distribution.
8.3. Paid Promotional Campaigns
8.3.1. If a Vendor purchases a promotional package, Pregnant and Popped will execute the agreed promotional content across relevant digital and event channels. The format, tone, and timing of these promotions are at the discretion of the Organiser.
8.3.2. The Organiser does not guarantee specific outcomes (e.g. sales, leads, visibility, or engagement). Performance depends on factors beyond our control, including platform algorithms and consumer behaviour.
8.3.3. Vendors must submit accurate, high-quality promotional content and messaging. All claims must comply with advertising laws. The Organiser reserves the right to edit or reject submitted materials.
8.3.4. Failure to submit materials on time may result in exclusion from the promotion. No refund or rescheduling will be offered.
8.3.5. Fees for promotional packages are non-refundable, regardless of perceived performance or outcomes.
8.3.6. The Organiser is not liable for indirect, incidental, or consequential damages arising from promotional campaigns. Total liability will not exceed the fee paid for the specific promotion.
9. Insurance and Liability
9.1. Vendors participate at their own risk and must hold their own insurance, including public and product liability.
9.2. The Organiser and Venue accept no responsibility for injury, loss, damage, or theft during setup, event hours, or teardown.
9.3. Complaints from attendees, volunteers, or staff will be taken seriously. Behaviour or representation that harms the reputation of the Organiser, Venue, or other participants may affect future participation.
10. Data Protection and Privacy
10.1. Vendors may collect personal data only with informed consent and in accordance with Singapore’s PDPA.
10.2. The Organiser accepts no liability for Vendor data practices. No data collected through the event may be resold or misused.
11. Sustainability Commitment
11.1. The Organiser and the Venue promote environmentally conscious practices.
11.2. Vendors are encouraged to avoid single-use plastics, use recyclable materials, and minimise waste where possible.
12. General Provisions
12.1. These Terms are governed by the laws of Singapore.
12.2. Disputes will first be addressed through amicable discussion. If unresolved, both parties agree to mediation.
12.3. The Organiser reserves the right to amend these Terms. Any updates will be communicated in writing.
12.4. Participation in any promotional campaign constitutes full agreement to all clauses in Section 8.
